We have transitioned to online bookings for our meeting rooms. This puts you in the drivers seat and don’t need to wait for a team member to get back to you, can see availability upfront and secure your booking in less than a minute.
If the room you want isn’t available for the dates and times you are looking for, please reach out to the team on 1300 249 482 just in case we have it locked off for internal meetings that can be shuffled.
This is a new platform and we expect some teething issues. Please contact us if you have any problems booking your room.
How do I know my booking is confirmed
One of the reasons we moved to this system is that it puts you in the drivers seat. Once you confirm by paying online, your booking is secured.
What is the minimum time I can book?

What if I need to cancel my booking?
In the event that you need to cancel your booking, you are able to do this in your online profile in the online booking system if this is more than 10 business days prior to your room booking date. If your cancellation falls within the 10 business days, please email your cancellation to info@businesshq.org.au. Our current cancellation notice periods and any applicable fees are published in our Meeting Room Terms & Conditions.
What insurance do I need to make a booking?
For room hire, hirers must provide a Certificate of Currency for Public Liability Insurance with minimum cover of $10 million, uploaded per the booking confirmation email instructions.
How do I request catering with a booking?
Ensure you select the “Would you like catering with your booking?” option. Our friendly team will follow up with a list of catering options for you to select from.
Can I bring my own catering?
Yes — with prior approval. A cleaning surcharge of $33 (incl. GST) applies when you provide your own catering, and safe food handling standards must be followed.
Is there still a discount for members?
Yes – current RBHQ Associate Members can still receive a 10% booking but need to create a members user account prior to booking for the first time.
The booking system is showing no available rooms on my date. What can I do?
- Try a different room or time window (e.g., Matt Room vs Stewart/Webb/Neville; or a half‑day instead of full‑day).
- Check alternate locations (HQ Bundaberg, The Generator Bundaberg and The Generator Gympie each have rooms with different capacities and setups).
- Contact us at info@businesshq.org.au — we can sometimes help by suggesting a suitable alternative, or, where operationally possible, we can relocate an existing booking if it is unavailable due to internal meetings.
Can I pay by invoice?
Our preference is to use our online system, where hirers are required to pay on via credit card when booking online.
While we can facilitate invoice payments in special circumstances for approved hirers, this is not our preference and bookings will only be confirmed once payment has been received. This means that the time and date you want to book may become unavailable due to someone else booking and paying online.
If you do require an invoice rather booking online and paying by credit card, please contact info@businesshq.org.au to see if you are eligible for this servcice. Please note, that if you are booking via invoice, you will need to pay your invoice immediately if you don’t want to risk missing out on the booking.
If paying by invoice, you will also need to put your credit card on check out, however you won’t be charged.
